Virtual Staff Labs Fulfillment Policy

At Virtual Staff Labs, we strive to provide our clients with exceptional virtual staffing services, designed to meet their unique business needs. This fulfillment policy outlines the terms and conditions under which services are provided, ensuring clear communication and mutual understanding between Virtual Staff Labs and our clients.  

1. Scope of Services

Virtual Staff Labs offers various virtual assistant services, including but not limited to:

  • Real Estate Cold Callers
  • Executive VirtualAssistants
  • Lead Generation Assistants
  • Administrative and Customer Service Assistants

The scope of services will be defined in the service agreement signed between Virtual Staff Labs and the client. Any additional services or changes to the agreement must be requested and may be subject to new terms and pricing.

2. Onboarding and Service Delivery Timeline

Once an agreement is signed, our team will initiate the onboarding process to ensure your virtual assistant is fully prepared for your business.

  • Onboarding Timeframe: Typically, onboarding takes between 1-3 business days from the date of contract signing, depending on the service complexity.
  • Service Delivery Start Date: Services will commence once onboarding is complete, and both parties confirm readiness to begin.

3. Quality Assurance and Monitoring

Virtual Staff Labs is committed to delivering high-quality services. To ensure this:

  • Regular Check-Ins: We will scheduleregular check-ins to monitor the virtual assistant’s performance and address anyconcerns.
  • Performance Tracking: All virtual assistants are regularly monitored by our internal team through set KPIs, task reports, and client feedback.

If you encounter any issues or require adjustments in the virtual assistant’s performance, please notify us immediately to allow for a resolution.

4. Replacement Policy

Once onboarding is complete, services will be activated based on the schedule discussed during theinitial consultation. Our standard practice is to ensure virtual assistants are prepared to start withinthe agreed timeframe.

  • Request for Replacement: Clients may request a replacement assistant bycontacting their account manager and specifying their concerns.
  • Replacement Process: We will initiate the replacement process within 5-7business days, ensuring minimal disruption to your operations.

5. Payment Terms

Clients will be billed based on the agreed-upon rates outlined in the service agreement. Billing will be handled on a monthly basis.

6. Service Modifications or Termination

  • Service Changes: If you need to make changes to your existing service (e.g. changing the type of virtual assistant, increasing/decreasing hours), please notify us at least 30 days in advance.
  • Termination: You may terminate the service with 30 day’s written notice.

7. Refund Policy

Virtual Staff Labs operates with a no-refund policy. Once payment is made, no refunds or credits will be issued, even if the client chooses to terminate the service before the end of the billing cycle. However, clients are entitled to request a replacement virtual assistant as outlined in our Replacement Policy.

8. Client Responsibilities

To ensure smooth service delivery, clients are expected to:

  • Provide clear instructions, task lists, and any necessary tools/software for the virtual assistant.
  • Maintain open communication with the virtual assistant and Virtual Staff Labs team to resolve issues quickly.
  • Male timely payments as per the agreed billing terms
